- Pick by where your data lives. GoHighLevel if your leads are in it, Power Automate on work Microsoft accounts, Zapier or Make to join other apps, and n8n with a technical owner.
- Billing units decide the bill. Zapier counts tasks, Make counts credits and n8n counts whole runs. A four-action workflow run 500 times uses 2,000 Zapier tasks but 500 n8n executions.
- Entry prices on yearly billing, as listed in September 2026: Make Core $9, Power Automate Premium $15 per user, Claude Pro $17 and Zapier Pro $19.99 a month. GoHighLevel Starter is $97 billed monthly, CRM included.
- Free plans are for testing. Zapier Free and Make Free both wait up to 15 minutes between checks.
- Keep a person on anything customer-facing. n8n can hold a tool call for approval, and Zapier pauses an AI step at 75 tasks in one run.
Which AI automation tools should a small business compare?
For a US business with one to ten people, compare six AI automation platforms: GoHighLevel's workflows, Power Automate, Zapier, Make, n8n, and a Claude agent with connectors. Which one comes first depends on three things. Where your customer data already lives, how many runs you need a month, and who fixes it when it breaks.

Vendor pricing pages, read 19 September 2026 (Zapier on 18 September): GoHighLevel, Power Automate, Zapier, Make, n8n and Claude. Help-doc limits and page dates sit in each tool's section below.
One disclosure before we go tool by tool. We build client automations mostly in GoHighLevel, with Claude on top, so those are the two we know best. The other four we priced from their own pages, not from other vendors' roundups. Where a page wouldn't load or didn't say, we tell you rather than guess.

Many small firms now use AI, but few have wired it into their work. The Federal Reserve Banks published their 2026 Report on Employer Firms on 3 March 2026. It found: "Nearly half of firms (46%) reported that their business or its employees currently use AI." The same report adds: "Just 7% of AI users had fully integrated AI into their business." The tools below are where that wiring happens.
Is Zapier still the easiest place to start?
For no-code AI automation that joins two apps this week, we'd still start there. Prices on Zapier's pricing page, checked 18 September 2026, list Professional at $19.99 a month billed annually, or $29.99 billed monthly, for 750 tasks. The Free plan gets 100 tasks a month. The catch is how fast a busy workflow uses up 750.
The unit is the task. The pricing FAQ says tasks are used "when a Zap successfully moves data or completes an action for you automatically." It adds that "Some apps or actions may use more than one task when completed successfully." Triggers don't count, and "Zapier never charges you a task to check for new data." Built-in tools like Filter, Formatter and Paths are free too. So a four-action workflow run 500 times a month uses about 2,000 tasks, well past Pro's 750.
When you hit the limit, Zapier's limits page, updated 29 May 2026, says: "Your Zap runs will be held, not lost." You can replay held runs from Zap History once tasks are available. To keep running past the allowance, turn on pay-per-task billing or move to a plan with a bigger one.
Speed is the other limit. Polling triggers check for new data every 15 minutes on Free, every 2 on Professional and every 1 on Team, per the pricing page. A web lead on Free can wait a quarter of an hour for its first text. Speed to lead is exactly where that costs you.
Zapier's AI features
AI by Zapier puts a model inside a Zap, and the model tier help doc, updated 20 August 2026, carries a warning. "When you create a new AI by Zapier step on a paid plan, the model tier defaults to Premium." Premium uses 5 tasks a run, against 1 for Standard. Our AI workflow automation guide works through that math.
The second feature is Zapier MCP, which lets an AI assistant act inside your apps. The page says: "Connect Claude, ChatGPT, Cursor, and other AI tools to Gmail, Slack, Salesforce, and 9,000+ apps." The cost comes from the same pool: "Each MCP tool call uses two tasks from your plan's quota — the same task bucket your Zaps use." MCP is on every plan, Free included.
Make: more steps per dollar, with one hard stop
Make is a Zapier alternative that costs far less per step, as long as you watch the credit balance. Its pricing page, read 19 September 2026, lists Core at $9 a month billed annually for 10,000 credits. Billed monthly, it's $10.59. The Free plan gives up to 1,000 credits a month.
Make now bills in credits, and the page says "most actions consume 1 credit." The same four-action workflow run 500 times uses about 2,000 credits for the actions alone. That's a fifth of Core's allowance. By our arithmetic, a Make credit lists at under a tenth of a cent, against about 2.7 cents for a Zapier Pro task. Make's AI features
Make's AI agents are still a beta. The pricing page lists "Make AI Agents (beta)" on every plan, Free included, running on Make's own AI provider or on your own model key. A beta can change its features and its credit use. If an agent decides how a lead gets handled, rerun your credit math each month.
When is n8n worth the extra setup?
When you run many multi-step workflows and have someone technical to own them. The billing unit at n8n is the execution, which its pricing page defines as "a single run of your entire workflow." Cloud Starter is listed at €20 a month billed annually, for 2,500 executions with unlimited steps. The page shows prices in euros only, so confirm the dollar amount at checkout.
Per-execution billing changes the math. The page says: "It doesn't matter how many steps are in the workflow or how much data it processes." The four-action workflow run 500 times is 500 executions, a fifth of Starter. Add a fifth step and n8n charges nothing more, while Zapier adds another 500 tasks a month.
On the Business and Enterprise plans, going over quota doesn't stop anything. The pricing FAQ says your workflows "will continue running without interruption, but overage charges may apply if you do not upgrade to the next usage tier." Bursts hit a separate limit, on how many runs go at once. The concurrency doc says runs over your plan's limit "queue for later processing," then run first in, first out.

n8n's AI features
The AI Agent node is the main one. Its docs say: "Connect a chat model and one or more tools, and the agent decides which tools to call to complete a task." The part a small business should care about is the brake. The human-in-the-loop guide says: "You can require human approval before an AI Agent executes a specific tool."
Do you already pay for Power Automate?
Maybe, if your team signs in with work or school Microsoft accounts. Microsoft's Types of Power Automate licenses page was last updated 20 July 2026. It says basic Power Automate "is included at no cost for work or school accounts in a Microsoft Entra tenant." The limit is in the same paragraph: "Connector usage is limited to standard connectors only."
The paid step up is Power Automate Premium, listed on the pricing page at "$15.00 user/month, paid yearly." The same licenses page says Premium includes 5,000 AI Builder credits a month and a daily limit of 40,000 actions per user. The four-action workflow run 500 times comes to about 67 actions a day.
Power Automate's AI features
Copilot builds cloud flows from a plain-English description. Microsoft's Copilot guide, dated 16 January 2026, says it helps "streamline your workflow through quick and easy natural language expressions." Two limits come with it. It "is optimized for use with English language and has limited support with other languages." And "Copilot is available only in the new designer and not the classic designer."

GoHighLevel workflows: when your CRM is the automation tool
If your leads, texts and bookings already live in GoHighLevel, build the automation there before you buy a connector tool. HighLevel's pricing page, read 19 September 2026, lists Starter at $97 a month or $970 a year, with a 14-day free trial. Most of our client automations live here. Our list of 12 GoHighLevel automations is the set we build on almost every account. It runs from missed call text back and appointment reminders to review requests and unpaid-invoice chasers. Only one of the twelve has an AI step: after-hours AI with a human handover. The other eleven are plain triggers and actions.

GoHighLevel's AI features
The GPT action puts a model inside a workflow. HighLevel's GPT-5 help doc, modified 19 December 2025, lists GPT-5 Mini as the default, at $0.25 per million input tokens and $2.00 per million output. "Pricing mirrors OpenAI's published rates and is billed via your HighLevel AI wallet." The pricing page marks Conversation AI, Voice AI and Reviews AI with "Usage based charges apply."
When does a Claude or ChatGPT agent beat a workflow?
When the job starts with a question a person asks, rather than an event at 9 p.m. A workflow runs the same steps every time a trigger fires. An agent reads live data, picks what to look up, and acts on request. Anthropic's connector guide says: "Connectors let Claude access your apps and services, retrieve your data, and take actions within connected services."
We run both side by side. Our 10 GoHighLevel MCP use cases are the agent jobs we run with Claude inside client CRMs. Among them are a morning pipeline brief, an uncontacted-lead sweep, appointment-day prep, month-end attribution and a CRM hygiene audit. Each one starts with a question someone on the team asks. Anything that must fire on a trigger stays in a workflow.

Claude Pro is $17 a month on the annual plan, $200 paid up front, or $20 billed monthly, per Anthropic's pricing page, read 19 September 2026. The connector guide says custom connectors using remote MCP work on the Free, Pro, Max, Team and Enterprise plans. "Free users are limited to one custom connector."
Our Claude to GoHighLevel guide says the official connection "takes about ten minutes and costs nothing beyond the plans you already pay for." For apps without their own MCP server, Zapier MCP fills the gap at two tasks per tool call. Zapier Free's 100 tasks cover 50 tool calls a month.
ChatGPT can reach the same apps, because Zapier's MCP page names it among the AI tools it connects. We couldn't load OpenAI's own pricing and help pages when we checked on 19 September. So we don't quote ChatGPT plan prices or connector limits here. Check them on OpenAI's site before you compare the two.
What do AI automation tools cost at 500 and 2,000 runs a month?
At 500 runs of a four-action workflow, Zapier Pro is the only entry plan below that runs past its allowance. At 2,000 runs, Make Core and n8n Starter reach four-fifths of theirs. Entry plans for AI automation software run $9 to $97 a month, and the $97 buys a whole CRM. Zapier and Make count steps, and n8n counts whole runs. Power Automate and Claude charge per person. Zapier Pro runs out first, because every action is a task. Make Core and n8n Starter both sit at a fifth of their allowance at 500 runs. Add a fifth action and Make climbs to a quarter of Core, but n8n stays at a fifth, since it bills the run rather than the step.
What an hour of admin time is worth
To weigh a tool against the time it saves, price the hour. The Bureau of Labor Statistics says: "The median annual wage for secretaries and administrative assistants was $48,310 in May 2025." Its Quick Facts put that at $23.23 an hour. That's the wage alone, before benefits and payroll taxes, so the true break-even times are shorter than the chart shows.
Four of the five plans in the chart pay for themselves if they save one hour of admin time a month. GoHighLevel needs about 4.2 hours, and its price covers the CRM the workflows run in. On monthly billing, Zapier Pro's $29.99 needs about 77 minutes.

Use a free plan to prove a connection is worth having, then move off it before a customer waits on it. A lead workflow on Zapier Free or Make Free can wait up to 15 minutes for its next check. And 100 tasks can run out halfway through the month.
How to choose between AI automation tools, and when to hire help
Answer four questions in order and one of these AI workflow tools usually stands out. Where does the customer data live? How many steps and runs a month? Who fixes it when it breaks? How sensitive is the data? Then build one workflow, watch it for a month, and add the second once the first runs clean.

- 01Where does the data live? Leads in GoHighLevel: build there first. Work Microsoft accounts: try Power Automate's free tier. Neither: Zapier or Make.
- 02How many steps and runs? Multiply runs by action steps. Under 750 a month, Zapier Pro covers it. Thousands of multi-step runs favor Make's credits or n8n's per-run billing.
- 03Who fixes it? Self-hosted n8n needs someone who can run a server. Every other option still needs a named person who reads the error log each week.
- 04How sensitive is the data? Sending client records to an AI model is a privacy decision. A clinic should ask its compliance adviser before patient data reaches an AI step.
Whichever tool you pick, three habits keep it safe. Put a person between anything an AI writes and the customer who reads it. Turn on error alerts and name the person who reads them. And cap usage where the tool lets you. Zapier's model tier help doc says it already pauses an AI step that "reaches 75 tasks during a single run" and asks you to approve it.
The Fed's survey backs the first habit. Among AI users, "the top challenges were accuracy (46%) and adapting tools to meet business needs (43%)." Texts carry their own rules too. When to hire an AI automation agency
Build it yourself when the workflow is simple, the tool is one you already use, and you have a few quiet evenings. Hire when the automation touches revenue, like lead follow-up, and a silent failure costs you customers.
