Read this before you go any further. This is not a general VA position. The CEO you support runs seven active business entities across real estate, legal services, consulting, healthcare, e commerce, mobile detailing, and home services. On any given business day you will be managing multiple inboxes, running his full calendar across all entities, delivering a daily CEO report before 9 AM, answering phones within 3 rings, sending pre meeting briefings 30 minutes before every call, and distributing meeting recaps within 2 hours. Seven platforms. Every single business day.
If you have fewer than 3 years of dedicated EA experience supporting C suite executives, do not apply. If you have ever improvised beyond your authority or made a scheduling error with a senior executive, do not apply. This role requires someone already operating at this level. It is not the place to learn EA work.
You will be placed with a Wyoming-registered US private holding company operating seven active business entities across real estate acquisition, legal services, multi service consulting, healthcare, e commerce, mobile detailing, and home services. All executive operations are coordinated through the President and CEO's office. This is a structured, professional, fast moving environment with established SOPs, a real team, and zero tolerance for dropped balls. You will be at the center of all of it.
The Virtual Executive Assistant reports exclusively to the President and CEO. No one else gives you direction. Your job is to keep his world running with total precision from 8 AM to 5 PM EST every business day. You are his gatekeeper, his filter, and the operational nerve center of his office. He follows a tight daily rhythm and your job is to support that rhythm proactively and without being asked twice. You handle what you are authorized to handle, you hold what needs escalating, and you never act outside your defined authority.
Each business morning before 9 AM you compile and send a structured three section report: what was completed yesterday, what the CEO needs to do today, and anything flagged for immediate attention. No filler. Accurate, concise, and actionable every single time.
You manage multiple inboxes (IONOS and Gmail) with mandatory checks at 8 AM, 12 PM, and 4 PM EST. Every email is categorized into one of four buckets: action required, for information, delegatable, or junk. Drafts staged for approval. Urgent legal or financial emails escalated immediately. Zero unresolved items at 5 PM.
You own the CEO's Google Calendar. Every meeting has a full title, attendees, purpose, meeting link, and prep notes. Fifteen minute buffers maintained between all appointments. Lunch blocked daily. Twenty four hour and one hour reminders sent for every appointment. Zero scheduling errors. Not one.
All incoming calls answered within 3 rings during business hours. Voicemail checked every 2 hours. Every message transcribed in full, logged in real time, and routed within 1 hour of retrieval. Legal calls go directly to the CLO. Property leads route to acquisitions. Media inquiries go to the Marketing Director. You follow the routing matrix exactly and without improvisation.
Thirty minutes before every meeting you deliver a full briefing to the CEO: attendee names and roles, meeting purpose, relevant background, and any documents to review. Within 2 hours after every meeting you distribute a formatted recap covering decisions made, action items with owners and deadlines, and the next meeting date if scheduled.
You compile and distribute the standup agenda via Microsoft Teams at least 15 minutes before each session. Within 15 minutes of the standup closing you send a full action item summary with owner names and deadlines to all participants. No follow up required from the CEO.
You reply to external parties within 4 business hours and internal team within 2 hours. Urgent escalations reach the CEO within 15 minutes. You are authorized for routine, administrative, and acknowledgment communications only. Anything touching deal terms, legal matters, or executive commitments requires CEO review and approval before you send a single word.
You publish content across Facebook, Instagram, LinkedIn, and the company website (Wix) per the approved content calendar. Content flow is fixed: Marketing Director creates, CEO approves, you publish. You never post anything without written approval. Comments and DMs responded to within 24 hours using brand aligned language. Negative comments escalated to Marketing Director immediately without engagement.
Every Friday by 4 PM EST you submit a report to the CEO covering tasks completed versus planned, open items and blockers, communications summary for the week, and key events for the upcoming week. The CEO should never have to ask for this.
This role runs across 7 platforms simultaneously. All of them are required and all of them are used daily. There is no learning period for the tools. You need to be operational from day one.

Candidates who pass the interview build a CV and a short professional presentation using our provided format. This is evaluated before you move to client matching.
Qualified candidates are introduced directly to the client for a meeting. This can happen with as little as 2 to 3 hours notice. You must be available during US Eastern business hours and ready to present yourself professionally on short notice. This is part of the job.
Final note: If you are not available full time during US Eastern business hours (8 AM to 5 PM EST) Monday through Friday, this role is not open to you.
